Healthspan Candidate Privacy Notice

At Healthspan, we take your privacy seriously. This notice explains how we collect, use, and protect your personal information when you apply for a job with us or are considered for future roles.
We are Healthspan UK Limited (company number 02967197), trading as Healthspan. Our registered office is Healthspan House, The Grange, St Peter Port, Guernsey, GY1 2QH. For data-protection purposes, we are the data controller.

1. What information do we collect about you?
When you apply for a job (directly via our careers site, through a recruitment agency, or if we approach you about a role), we may collect:
- Your name, contact details (email, phone, address)
- CV/resume, cover letter, application form answers
- Details of your qualifications, skills, experience, and employment history
- Information about your current and expected salary and benefits
- Right-to-work and identity documents (e.g., passport, driving licence) (collected after acceptance)
- References from previous employers (collected after acceptance)
- Information from interviews, assessments, or tests
- Any information you voluntarily provide (e.g., gender, ethnicity, disability, or sexual orientation - only for equal-opportunities monitoring and only with your explicit consent)
- In some cases, background checks (e.g., criminal-record checks where the role legally requires it) (collected after acceptance, unless provided by an agency prior to CV submission)
If you visit our careers site, we also collect standard internet log information and details of visitor behaviour patterns (via cookies - see our Cookie Policy).
2. How do we collect your information?
- Directly from you (application forms, emails, CVs, interviews)
- From recruitment agencies or job boards
- From referees you provide (after acceptance)
- From publicly accessible sources (e.g., LinkedIn) when we are proactively searching for candidates
- From third-party background-check providers (only where necessary and lawful, and typically after acceptance)
3. Why do we process your information (and what is our legal basis)?

Special categories of data (e.g., health data or information about criminal convictions) are only processed where strictly necessary and where we have an additional legal basis (usually explicit consent or employment-law requirements). Criminal conviction data is only collected after acceptance, unless provided by an agency prior to CV submission.
4. Who do we share your information with?
- Our internal recruitment and HR teams
- Third-party service providers who help us with recruitment (e.g., our applicant-tracking system provider, background-check providers, occupational-health providers) - all under strict contracts
- Referees you have nominated (after acceptance)
- In rare cases, regulators or law-enforcement agencies if we are legally required to do so
We do not sell your data or share it for marketing purposes.
5. International transfers
Currently, we do not transfer your personal data outside the UK/EEA. If this changes, we will ensure a similar degree of protection by using specific contracts approved for use in the UK (UK International Data Transfer Agreement or Addendum).
6. How long do we keep your information?
- If your application is unsuccessful: we will only keep your data for a minimum defined time period after the end of the relevant recruitment process if you opt in to be considered for other suitable roles. Otherwise, your data will be deleted sooner.
- If you are hired: your data becomes part of your employee record and is kept in line with our employee privacy notice.
- Equal-opportunities monitoring data is anonymised immediately and kept only in aggregate form.
You can ask us to delete your data at any time (see your rights below).
7. Your rights
You have the following rights (with some exceptions and qualifications):
- Access - ask for a copy of the data we hold about you
- Rectification - ask us to correct inaccurate data
- Erasure - ask us to delete your data
- Restriction - ask us to stop processing your data temporarily
- Objection - object to processing based on legitimate interests
- Portability - receive your data in a portable format
- Withdraw consent - where we rely on consent (e.g., keeping you on file for future roles)

8. Automated decision-making
We do not use automated decision-making (including profiling) that produces legal effects or significantly affects you.
